Inspect and restore a saved document version

A draft has changed, an approval appears older than the current text, or you need to inspect the document as it existed before a revision.

Before you begin

  • Access to the document and its saved history.
  • Save or discard your own unsaved edits before attempting a restore.

What to do

  1. Open the document and its Versions panel. Identify the current version and the earlier entry you need by its date, author and source. A title alone is not enough to identify the text a reviewer saw, especially when the same draft has been revised several times.
  2. Open the earlier entry and read the saved text. Check whether you are inspecting a historical version or the current editable document. Keep the version identity with any review note so a colleague can return to the same text.
  3. If you want an earlier version to become the basis of current work, first save or discard unsaved edits in the editor. Choose Restore on the intended entry only when you have authority to do so, then read and confirm the restore action.
  4. After the restore finishes, inspect the new current content and its history. Restoring is a new recorded revision; it does not erase the intervening work. If the action reports an error, reload the history and establish which version is current before trying again.
  5. Review any pending approval against the saved version it names. Where a document has a review request, approval of an earlier version does not approve new edits. Send the revised version through the required review before sharing, exporting or taking another outside action.

What you should see

The team can identify the text being reviewed and trace any restoration as a new revision. Earlier versions remain distinguishable from the current draft.

Limits and unresolved problems

A saved version records document history. It does not by itself establish approval, filing or service. An approval must be read with the version and action it covers.
